Repository Policy

1. Introduction

International Journal of Advanced Science Computing and Engineering (IJASCE) supports the open dissemination, discoverability, and long-term accessibility of scholarly work through responsible self-archiving. Consistent with the principles of the Budapest Open Access Initiative (BOAI), IJASCE permits authors to deposit manuscript versions in appropriate institutional, disciplinary, general-purpose, or other publicly accessible repositories.

This policy complements IJASCE's Open Access Policy and Copyright and Licensing Policy and is intended to make authors' self-archiving rights clear and transparent.

2. Scope

This policy applies to:

  • all article types submitted to and published by IJASCE;
  • preprints, Author Accepted Manuscripts, and the final published Version of Record;
  • institutional, disciplinary, national, regional, and general-purpose repositories; and
  • other scholarly-sharing services, provided that deposit complies with applicable copyright, licensing, and platform requirements.

3. Self-Archiving Policy

IJASCE permits and encourages authors to make their scholarly work openly available through self-archiving. Authors may deposit permitted manuscript versions immediately. IJASCE applies no embargo period to self-archiving.

3.1 Permitted Versions

Authors may archive the following versions of their manuscripts:

  • Preprint – the author's manuscript before formal peer review and acceptance by IJASCE.
  • Author Accepted Manuscript (AAM/Postprint) – the final author-created manuscript accepted for publication after peer review and revision, but before journal copyediting, typesetting, pagination, and final publication formatting.
  • Version of Record (VoR) – the final article formally published by IJASCE, including the journal's final formatting, bibliographic information, DOI, and other publication metadata.

All three versions may be deposited without embargo.

3.2 Deposit Conditions

Authors may deposit permitted versions before or after publication, subject to the following conditions:

  • A deposited preprint should be clearly identified as a version that has not yet undergone or completed the journal's peer-review and publication process.
  • An Author Accepted Manuscript should be clearly identified as an accepted manuscript rather than the final published Version of Record.
  • Once an article has been published, authors are encouraged to update repository records for earlier versions with the complete bibliographic citation and DOI of the Version of Record.
  • The Version of Record may be deposited in its published form and should retain its original copyright, licensing, citation, DOI, and publication information.
  • Authors must ensure that any third-party material contained in a deposited manuscript is shared only to the extent permitted by the rights applicable to that material.

3.3 Copyright and Licensing

Authors publishing with IJASCE retain copyright in accordance with the journal's Copyright and Licensing Policy.

The final published Version of Record is distributed under the Creative Commons Attribution-ShareAlike 4.0 International (CC BY-SA 4.0) licence. Under this licence, the published work may be shared and adapted, including for commercial purposes, provided that appropriate attribution is given, a link to the licence is provided, modifications are indicated where applicable, and adapted material is distributed under the same or a compatible ShareAlike licence.

Preprints and Author Accepted Manuscripts may also be deposited openly. Any licence applied by an author to these manuscript versions must be consistent with the rights held by the author and must not misrepresent the licensing status of third-party material.

Depositing an earlier manuscript version does not change the CC BY-SA 4.0 licence applicable to the IJASCE Version of Record.

3.4 Attribution and Linking

After publication, deposited copies should, wherever technically possible, include or be accompanied by:

  • the full citation of the published IJASCE article;
  • the article DOI expressed as a persistent DOI link;
  • the name International Journal of Advanced Science Computing and Engineering (IJASCE);
  • an indication of the version being deposited; and
  • for the Version of Record, a reference or link to the applicable CC BY-SA 4.0 licence.

Repository records for preprints or Author Accepted Manuscripts should be updated after publication so that readers can identify and access the authoritative Version of Record.

3.5 Permitted Deposit Locations

Authors may deposit permitted manuscript versions in appropriate services, including:

  • institutional repositories maintained by universities, research institutions, libraries, or other scholarly organisations;
  • disciplinary or subject repositories, such as arXiv or SSRN, where appropriate to the subject area;
  • general-purpose research repositories, such as Zenodo;
  • national or regional repositories;
  • funder-mandated repositories, where required by research funders; and
  • scholarly-sharing platforms, where their terms of service and the applicable copyright and licensing conditions permit such sharing.

Authors are responsible for ensuring that the chosen service accurately records the manuscript version and preserves appropriate copyright, licensing, citation, and metadata information.

3.6 Embargo

IJASCE imposes no embargo period on self-archiving. Authors may make permitted manuscript versions publicly accessible immediately, subject to the version-specific conditions stated in this policy.

3.7 Preprints and Subsequent Submission

Public availability of a manuscript as a preprint does not, by itself, constitute prior journal publication and does not prevent consideration by IJASCE, provided that the submission complies with the journal's other editorial and ethical requirements.

Authors should disclose the existence of a publicly available preprint during submission where requested by the journal. After publication, authors are encouraged to update the preprint record with the citation and DOI of the published article.

4. Responsibilities

Authors are responsible for identifying the version they deposit, maintaining accurate bibliographic and licensing information, respecting third-party rights, and linking earlier versions to the Version of Record after publication where practicable.

IJASCE editors and the publisher are responsible for communicating the journal's self-archiving, copyright, and licensing conditions clearly and consistently.

Repository and platform operators are expected to display deposited content and associated metadata in accordance with the copyright and licence information supplied with the work. Authors should verify that the service they use does not impose conditions inconsistent with the applicable licence or copyright status.

5. Relationship to Digital Preservation

This Repository and Self-Archiving Policy concerns authors' rights to deposit copies of their work in external services. It is distinct from the journal's digital preservation and long-term archiving arrangements, which concern preservation of the journal's published scholarly record in the event of technical failure, platform migration, or discontinuation of publication.

This policy is reviewed periodically and may be updated when necessary to reflect developments in open access, repository practices, licensing standards, scholarly communication infrastructure, or applicable journal policies. Any substantive revision will be reflected in the version published on the IJASCE website.
